Overview
Calendar lets you drill into daily, weekly, and biweekly scheduling, manage reservations, and start and finish contracts to optimize your rental and loaner operations.
How does it work?
In Calendar, you can view your dealership’s day, week, or biweekly schedule, and filter by contract state, vehicle status, and vehicle odometer. You can also manage reservations and start and finish contracts.
Sort the Calendar by Day, Week, or Biweekly to Drill into Scheduling
Sort the calendar by following the steps below:
- Navigate to the top-right section of the Calendar
- Select Day, Week, or Bi-Weekly
- Select the arrows to view the previous or subsequent
day, week, or month
Filter the Calendar by Contract State, Vehicle Status, or Vehicle Odometer
You can filter Calendar by contract state, vehicle status, and vehicle odometer. The default view displays vehicles in both available and unavailable statuses. To filter, follow the steps below:
- Navigate to the top-middle section of the Calendar
- Select Contract State to filter by contract status
- Select Vehicle Status to filter by vehicle status
- Select Odometer and input mileage data to filter by
vehicle mileage
Identify the Status of Contracts & Reservations by Color
Contract and reservation statuses are indicated by the following colors:
- Booked Reservation: No Color
- Pending Contract: Light Blue
- Started Contract: Dark Blue
- Finished Contract: Green
- No-Show Contract: Orange
Hover over a Vehicle to View the Details
In the Vehicles section of the Calendar, hover over a vehicle to view the following details:
- License Plate
- Stock
- Vehicle Group
- Mileage
- Time on Lot
- VIN
- Status
View Incomplete Customer Profiles
An alert icon will appear on reservations and contracts when the associated Customer Profile is incomplete.
Create and Manage Reservations
In the Reservations section of the Calendar, you can easily modify reservation details, assign a vehicle to a reservation, or begin the contract workflow.
Create a Reservation via Click & Drag
- Navigate to Reservations
- Click and drag an event to the preferred timeslots
- When the Contract Details pop-up occurs, input the customer name,
pickup & drop-off date and time, Vehicle Group, and Service Advisor - Select Save
Create a Reservation via +Add Contract
You may also select Add Contract from the top-right of the Calendar to redirect to New Reservation. After creating the reservation, it will appear in the Calendar under Reservations.
Update Pickup & Drop-off Date and Time via Click & Drag
- Navigate to Reservations
- Locate the applicable reservation
- Click and drag the reservation to the preferred timeslots
- Observe a popup indicating that the date/time has been updated
Assign a Vehicle via Click & Drag
- Navigate to Reservations
- Locate the applicable reservation
- Click and drag a reservation into the Vehicles section
and drop the reservation onto the preferred vehicle - Observe the reservation transitions into a Pending contract
in the Vehicles section (the contract must be manually started)
To successfully assign a reservation to a vehicle via drag and drop, the vehicle must belong to the Vehicle Group associated with the reservation, and it must be in an available vehicle status.
If the vehicle does not belong to the Vehicle Group, a popup will appear to notify you that the vehicle cannot be assigned to the reservation. In this case, you may drag and drop the reservation into a different vehicle.
If the vehicle is not in an available vehicle status, a pop will appear to notify you that the vehicle cannot be assigned to a reservation. In this case, you may drag and drop the reservation into a different vehicle.
Select a Reservation to Redirect to Contract Details
You may also select a reservation to redirect to Contract Details where you can modify the pickup & drop-off date and time or begin the start contract workflow.
- To update the pickup & drop-off date and time of a Pending contract, select Modify Contract
- To begin the contract workflow & assign a vehicle, select Start Contract
Modify, Start, and Finish Contracts
In the Vehicles section of the Calendar, you can easily modify contract details, start pending contracts, and finish started contracts.
Update Pickup & Drop-off Date and Time via Click & Drag
- Navigate to Vehicles
- Locate the applicable contract
- Click and drag the contract to the preferred timeslots or select
the contract to redirect to Contract Details, then select Modify Contract
- Observe a popup indicating that the date/time has been updated
Start Pending Contracts
- Navigate to Vehicles
- Locate and select the applicable Pending contract
- Once redirected to Contract Details, select Start Contract
Finish Started Contracts
- Navigate to Vehicles
- Locate and select the applicable Started contract
- Once redirected to Contract Details, select Finish Contract
