Locate a Customer Profile
Before adding a new profile in Dealerware Web, it's advised to first search for the customer to determine if they already have a profile. Learn how to search for a profile below.
- Login to my.dealerware.com
- Select Customers from the main menu
- Input name, phone number, email address, or driver's license # into the Search Customers field
If a profile does not already exist, add a new profile.
Add a Customer Profile
If a customer profile does not already exist, you can create one by following the steps below.
- While logged in to Dealerware Web, select Customers from the main menu
- Select + New Customer
- Input the customer's first and last name, mobile number, and email address (email is optional for customers in the United States and mandatory for customers in Canada), and preferred language
- Select Add Customer
- Select View New Customer Profile to redirect to Customer Details
- Complete the remaining sections of the Customer Profile in Customer Details: Overview
Add or Edit Customer Details
After creating a customer profile, proceed to add or edit the following details in Customer Details.
Customer Information: Personal Details, Driver's License, Preferred Language
Insurance Information: Provider Details & Photo
Payment Information: Preferred Payment Method
Notes: Customer Notes
Delete a Customer Profile
Using Dealerware Web, you can permanently delete a customer profile at the customer's request or when duplicate profiles exist.
If active contracts exist (active contract statuses include: Booked, Pending, and Started), you will be unable to delete the customer profile. First, complete or cancel any active contracts.
Follow the steps below to delete a customer profile.
- Select Customers from the main menu
- Search and select the applicable customer profile
- In Customer Details: Overview Account scroll to the bottom of the page
and select Delete Customer
Implications of Deleting a Customer Profile:
Unsettled Balances
- Dealerware will alert you when attempting to delete a customer profile associated with an unsettled balance.
- You should first charge the balance before deleting the profile. You will be unable to charge the balance after you delete the profile.
- After profile deletion, unsettled balances will be accessible in Dealerware via Contract Details > Billing, but they cannot be charged.
Dealerware Artifacts and Reporting
- Customer information will be anonymized and appear as "Deleted Customer" throughout the Dealerware platform and all affiliated artifacts (contracts, customer agreements, receipts, reports, etc.).
- To request a copy of a Customer Agreement that's affiliated with a deleted customer profile, contact Dealerware Support.
Add or Remove a Customer from the Do Not Rent List
You can add customers with unsettled balances or who have not complied with vehicle terms and conditions to the Do Not Rent (DNR) list in Dealerware Web, to prevent contract creation.
If a customer is on the DNR list, it will be indicated on their Customer Profile in Dealerware Web, in Customer Details: Overview, and in Dealerware Mobile on their Customer Profile.
Add or Remove a Customer from the DNR List
- Select Customers from the main menu
- Search and select the customer in Dealerware Web
- In Customer Details: Overview, across to the bottom of the page
- Select Add to DNR to add the customer to the list
or Remove from DNR to remove a customer who is currently on the list - Enter the reason
- Select Save
Create a Contract
In Customer Details, you can easily create a contract for the corresponding Customer Profile. Follow the steps below:
- While in Customer Details: Overview, scroll to the bottom of the page
- Select Create Contract
View Current or Past Customer Contracts
In Customer Details, you can view current or past contracts by following the steps below.
- While in Customer Details: Overview, select the Contracts tab
- View current or past contracts
