The Availability Report uses vehicle and contract information to help prevent overbooking. For the upcoming week, each day will show:
- Net Available Vehicles
- Vehicles Reserved
- Fleet Size
- Percent Available
This feature makes calculations based on the scheduled pickup and dropoff date of booked and started contracts.
For this report to display the most useful data, you will need to:
- Schedule appointments in advance by creating a new contract in Dealerware Web or Dealerware Mobile. Contracts can be created without being started which will place the contract in a booked status
- Set an accurate Scheduled Dropoff Date when starting a contract in Dealerware Mobile
- Use Dealerware Web to modify the Scheduled Dropoff Date if there are delays in the vehicle return
Definitions & Calculations
Net Available Vehicles - The number of vehicles available for new bookings
Fleet Size - Number of active vehicles. This calculates all vehicles that are not in the following statuses: disposed, hard hold, shuttle, maintenance.
Percent Available - The percentage of vehicles available based on your fleet size
Vehicles Reserved- Number of vehicles reserved to fulfill bookings for the day, including vehicles out on a contract. Dealerware's availability system will maximize vehicles by reusing them within the same day if possible, depending on contracts' scheduled pickup and dropoff times.
Example:
If a started contract's scheduled dropoff is 10:00 AM and there is a booked contract with a scheduled pickup at 1:00 PM, only one vehicle is required.
However, if the booked contract had a scheduled pickup for 8:00 AM, this scenario would require two vehicles.
