Note: This feature requires an active geofence. To set up a geofence first, see Advanced Geofencing Alerts. You can choose which employees receive an email when a vehicle triggers a geofence alert. Email notifications are a less disruptive alternative to SMS — employees can review and act on alerts during work hours without receiving texts on personal devices outside their shift.
How it Works
1. From the left navigation, go to Alerts, then select Location Alerts.
2. Select Geofencing and find the geofence you want to configure.
3. Select Configure Employee Email next to the geofence name.
4. A list of employees at your location will appear. Check the box next to each employee who should receive email alerts for this geofence.
5. Select Save.
6. To view a trip in relation to a geofence, select the geofence from the Map Layers dropdown above the map.
What the email contains
When a geofence alert is triggered and resolved, selected employees will receive an email from noreply@dealerware.com with the subject line Dealerware Alert: FenceBreach - Resolved.
The email includes:
• Vehicle year, make, and model
• Vehicle stock number
• Customer name and mobile number
• Date and time the alert was resolved
It also includes a direct link to open the vehicle’s real-time location in Dealerware.
Frequently Asked Questions
Can I configure different employees for different geofences?
Yes. Each geofence has its own employee email configuration. You can select a different set of employees for each one.
What’s the difference between employee SMS and employee email alerts?
Both notify employees when a geofence alert fires. SMS messages are sent directly to an employee’s mobile number and arrive in real time — including outside of work hours. Employees who no longer want SMS alerts can opt out by replying STOP, but that removes them from all SMS alerts. Email notifications can be managed during work hours and don’t interrupt employees on personal time.
What if I don’t see an employee in the list?
Only employees associated with your location will appear. If someone is missing, contact your Dealerware administrator to confirm they’re set up under the correct location.
Do employees need to do anything to receive the emails?
No — once you save the configuration, selected employees will automatically receive alerts at the email address on their Dealerware profile.
