Backdating Contracts

Overview:

Users with the "Edit Contracts" permission can easily backdate contracts that are in either Pending or Finished status. You can backdate contracts only within 14 days of the current date. If you need a contract to have an older backdate, Contact Dealerware Support.

Process:

How to Backdate & Start a Pending Contract:

  1. Locate the pending contract and click the Contract ID

  2. On the contract page, select the "Manage" tab

  3. Scroll to the bottom of the page and click "Start Contract"

    1. Depending on the contract's Program Settings, you may need to click "Continue without credit card" for this button to be clickable (screenshot)

  4. In this menu, if needed, edit the date(s) & time(s) for the Actual Start and Scheduled Finish

    1. Note: the Scheduled Finish Date/Time must be after the Actual Start Date/Time

  5. Enter the reason the contract had to be backdated

  6. Click "Start Contract"

    1. The contract should now be started with the backdated actual start date & time

How to Edit the Actual Start or Finish Date/Time of a Finished Contract:

  1. Locate the finished contract

    1. Locate the customer's profile and click their name

    2. Select the "Contracts" tab near the top of the page

    3. Click on the Contract ID

  2. On the contract page, select the "Manage" tab

  3. In the "Booking Summary" section, click the "Edit" button in the top right of the box.

  4. Edit the date(s) and/or times(s)

  5. Enter the reason for the edit(s)

  6. Click "Save" in the bottom right
