Migrating from Multiple Dealerware Instances to a Single Instance |
Overview
Multi-Agreements unlocks the ability to create new programs by allowing dealerships to optimize more than one Driver Agreement in Dealerware.
Dealers with multiple Driver Agreements in place can assign specific Driver Agreements to individual Vehicle Groups.
Driver Agreements
Types of Driver Agreements
You can optimize one single Custom Driver Agreement and a single Program Driver Agreement in Dealerware.
Each Driver Agreement is paired with Agreement Terms, which the customer must view and consent to before starting their contract (See: How do I assign Agreement Terms to Driver Agreements in Dealerware?).
Customer, vehicle, and contract data will auto-populate on Program Driver Agreements after starting and finishing a contract. However, this data will not auto-populate on Custom Driver Agreements.
Terms & Definitions
- Custom Agreement: a Driver Agreement containing terms developed by your dealership's legal team, which can be uploaded and managed in Dealerware by your dealership’s Admin.
- Program Agreement: a Driver Agreement containing terms specific to an OEM program, which is provided by the OEM and cannot be modified using Dealerware.
Configuring Driver Agreements
Custom Agreements can be configured in Dealerware Web by your dealership’s Admin. However, Program Agreements, which contain OEM-mandated terms, must be provided by your OEM.
Configuring a Custom Agreement
- Select Settings from the main navigation
- Select Driver Agreement
- Select the document icon
- Select the agreement of your choice from your desktop (the document must be in a PDF format)
- Select the page on which you would like to configure the signature and date fields
- Define the signature & date areas
Configuring a Program Agreement
If your dealership is enrolled in an OEM program, the associated Program Driver Agreement will be present in your Dealerware instance.

Assigning Agreement Terms to Driver Agreements
Based on OEM requirements, your location may leverage more than one Driver Agreement in Dealerware: a Custom Driver Agreement or Program Driver Agreement. Either Driver Agreement should be combined with Agreement Terms, which are legal statements that are supplemental to those outlined in the Driver Agreement.
During the start-contract workflow, your customer will review the Agreement Terms before signing their contract.
Assigning Custom Agreement Terms
Custom Agreement Terms, which should be developed by your dealership’s legal team, can be added, modified, and deleted in Dealerware by your dealership’s Admin by following the steps below:
Add, edit, or delete terms
- Select Settings from the main navigation
- Select Agreement Terms
- Locate the Custom Agreement Terms
- Select the pencil icon next to each item to modify it
- Select the trash can icon next to each item to delete it
- Select Add Term to create a new term
Assigning Program Agreement Terms
Program Agreement Terms, which are mandated by the OEM, can be viewed but not added or modified using Dealerware.
Depending on OEM requirements, some terms can be disabled by your dealership’s Admin. Terms with an “i” icon are static and cannot be disabled, whereas items without an “i” icon can be disabled.
View or toggle off Program Agreement terms
- Select Settings from the main navigation
- Select Agreement Terms
- Locate the Program Agreement Terms
- Toggle off all that apply
Vehicle Groups
Assigning Driver Agreements to Vehicle Groups
Once a Driver Agreement and the corresponding Agreement Terms are configured, your dealership’s Admin can assign the agreement to Vehicle Groups. A single Driver Agreement can be assigned to multiple groups.
Assign Driver Agreements to Vehicle Groups
- Select Settings from the main navigation
- Select Vehicle Groups
- Locate the applicable group
- Select the pencil icon to access the group settings
- In General Group Settings, select the Agreement dropdown
- Select the applicable DriverAgreement
- Select Save
- Scroll to the bottom of the page and select Done
Dealerware Instances
Migrating from Multiple Dealerware Instances to a Single Instance
- Complete all contracts
- Download vehicle list
- Dispose of vehicles from the Dealerware instance you wish to discontinue.
- Contact Dealerware Support and submit a request to discontinue the Dealerware instance.
- Upload the applicable vehicles into the primary Dealerware instance.
Download Vehicles List
Before disposing of vehicles, download a list of vehicles to account for those that you intend on uploading into your single Dealerware location.
- Select Vehicles from the main navigation
- Filter Vehicle State by Active
- Select the down arrow icon to download the list of vehicles
Dispose of Vehicles
- Select Vehicles from the main navigation
- Select the vehicle you wish to dispose of
- In Vehicle Details, select Status
- In Status, navigate to the Select New Vehicle Status dropdown
- Select the dropdown, followed by Dispose
- Select Save
Upload Vehicles
Leverage the list of vehicles downloaded from the Dealerware instance you wish to discontinue to determine which vehicles need to be uploaded to the primary Dealerware instance.
- To bulk upload vehicles: select Settings from the main navigation, then follow the steps listed
- To upload individual vehicles: select Settings from the main navigation, select Add Vehicle > Save
Notes
- Admin permission is required to manage vehicles.
- Historical vehicle and contract data within a discontinued location will be available upon Support request.
- Customer Profiles saved within a discontinued Dealerware instance will be lost. Therefore, it’s advised to use Dealerware Mobile to credential customers and create profiles, as the Driver’s License scanning technology will notify you if an existing customer profile exists.
