When selecting a Vehicle in Dealerware Web, a Vehicle Details drawer will display where you can update the vehicle's information and review the vehicle's history. Find the Vehicle's year, make, model, fuel level, mileage, and VIN in the header of the drawer. You can also print the QR code from the top right corner.
Vehicle Details
Below the header, locate the following Vehicle information. If there is an active OEM Recall, a read banner alert will be present.
- Status
- Stock Number
- Toll Barcode
- Color
- Available On: the date that a vehicle can be used. Dealerware will only allow contracts to start after a vehicle’s Available On date.
- Unavailable On: the date that an active vehicle should be retired from the fleet. Use the Unavailable On field to ensure vehicles do not exceed OEM or dealer group limits. Dealerware will prevent a contract from being started with a vehicle after its Unavailable On date.
- License Plate
- License State/Province
- Registration Date
- Registration Expiration Date
- Emissions Expiration Date
- Physical Location: appears when searching for vehicles and in the Vehicle Inventory report. This field can be used to make notes about the vehicle’s location.
Location and Event History
The Location and Event History section provides the GPS location of a vehicle equipped with Connected Car Services. The vehicle’s position is displayed on an interactive map. You must have the View Vehicle Position During Contracts employee permission to view the GPS location while a vehicle is rented.
Contract History
The Contract History is a list of all contracts associated with a vehicle. The list includes the customer, contract status, contract ID, and date and time started. Expand the details section on each row to see information such as the starting fuel level, ending fuel level, starting odometer, ending odometer, actual drop-off date and time, customer phone number, and customer amount due.
Tolls
The Tolls section is for vehicles equipped with a Dealerware Toll Services. Tolls will display a timestamp, description, and amount.
Vehicle Notes
The Vehicle Notes section lists all vehicle notes for a specific vehicle. A vehicle note differs from a Vehicle Condition which is used for tracking damage to the vehicle. The note includes the date and the employee who created the note.
Vehicle Condition
The Vehicle Condition section is a list of all damage associated with a vehicle.
Each entry includes these details:
- An image of the damage. Photos can only be added when Vehicle Condition entries are created on Dealerware Mobile.
- A date and time stamp
- The name of the employee that created the entry
- A description of the issue
- State: either Opened or Closed. Open issues are listed first; resolved issues are in a collapsible section underneath
To resolve an entry, click on the View button. Enter a note detailing how the damage was resolved, then click the button to Resolve Issue.
