Create a Contract:
Start from the complete customer profile. Incomplete profiles appear in red on iOS or black on Android.
- Select Create New Contract
- Set the pickup and drop-off date and time
- Select the Service Advisor
- Add up to two additional drivers (if applicable)
- Enter the Repair Order # (optional)
- Enter the Service Vehicle ID (optional)
Start a Contract
Proceed from the Create Contract workflow and select Next: Vehicles, or select the contract from Contracts and select Assign Vehicle.
- Choose from the list of staged vehicles, search by Vehicle Group, License Plate, Stock #, or VIN, or scan the vehicle QR code
- Enter the starting Fuel Level and Odometer Reading (if you use Connected Car Services, fuel and odometer values will update automatically.)
- Select Save
You may reassign a new vehicle before starting the contract by selecting the back button at the top left of the screen. You cannot update the assigned vehicle after starting the contract.
- Verify Vehicle Details
- Review the condition of the vehicle with the customer and document any issues (any issues documented at contract-start will appear on the customer’s contract as preexisting issues)
- Select Continue
- Confirm Contract Details are accurate
- Inform the customer that a credit card hold will be applied to their credit card and collect verbal consent (only applies if Credit Card Hold is enabled)
Obtain a Customer Signature
There are two ways to obtain a customer signature: select On This Device to obtain a signature using your dealership device or Contactless to send the agreement to the customer’s device.
Selecting On This Device
- Select On This Device
- Pass the device to the customer and ask them to review the Agreement Summary – Contract Terms, toggle through each line item and select Continue (the customer may select agreement to review the full version of the agreement)
- Ask the customer to sign the agreement and return the device
- Select Start Contract to complete the process
- The customer will receive a link via text message to access a copy of their agreement
Selecting Contactless
- Select Contactless
- Select Send Text Message (United States) or Send Email (Canada)
- Dealerware Mobile will direct you to the Contracts screen
- The customer will receive a text message (United States) or email (Canada) containing a link to view their Customer Agreement
- The customer must toggle through each line item, sign the agreement, and select Sign Contract
After the customer has submitted their signature, Dealerware Mobile will refresh, and the customer’s contract will appear in a Signature Submitted status.
- Select the contract
- Select Start Contract to complete the process
- The customer will receive a link via text message to access a copy of their agreement
*If the contract status remains in Signature Pending, pull down on the screen to refresh.
Cancel a Contract
- Navigate to Contracts
- Select the contract you wish to cancel
- Select Cancel Contract (a confirmation alert will appear)
- Select OK to cancel the contract or Cancel to return to Contracts
*You cannot cancel contracts after they have begun.
