Dealerware makes it easy to view booking, vehicle, and service info, view or add notes, manage Additional Drivers and preview credit card hold amounts during the start-contract workflow.
Starting a Contract
How do I start a contract using Dealerware Mobile?
There are two ways you can start a contract using Dealerware Mobile:
- Locate a previously booked reservation then proceed to the start-contract flow:
- Select Schedule from the main navigation
- Locate & select the reservation in a Pickup status
- In Reservation Overview, confirm Booking, Vehicle, and Service info is accurate
- Add Additional Drivers (optional)
- Add or review Notes (optional)

- Create and start a contract on the fly using the Contract Now feature:
- Select Customers from the main navigation
- Search and select the applicable customer or create a new customer profile
- Select Contract Now
- Confirm Programs selection
- Add Additional Drivers (optional)
- Select Next: Vehicles

*If a customer has an outstanding balance or is on the Do Not Rent list, it will be indicated on the customer's profile. In these cases, it's advised to access the Customer Profile using Dealerware Mobile and manage the balance or remove the customer from the Do Not Rent list as needed.
Assign Vehicle & Input Vehicle Usage Data
- In Assign Vehicle, choose from the list of staged vehicles, or search by License Plate, Stock #, VIN, or scan the vehicle QR code
- In Vehicle Usage Data, enter the starting Fuel Level & Odometer readings (if using Connected Car Services: these values will auto-populate)
- Select Save
Verify Vehicle Details
- In Vehicle Details, review the vehicle condition with the customer & document issues
- Select Continue
Review Reservation Overview & Capture Customer Signature
- In Reservation Overview, confirm Booking, Vehicle, and Service info is accurate
- Add Additional Drivers (optional)
- Add or review Notes (optional)
- Review Credit Card Hold details & collect verbal content from the customer (applies only if Credit Card Hold is enabled)
Capture a Customer Signature
- In Reservation Overview: Customer Signature, select On This Device to capture a signature using your dealership device or Contactless to send the agreement to the customer’s personal device
Choosing On This Device
- Select On This Device
- Pass the device to the customer
- Ask the customer to review the Agreement Terms, toggle through each line item, and select Continue
- Ask the customer to sign the agreement and return the device
- Select Start Contract to complete the process
- The customer will receive a link via text message to access a copy of their agreement
Choosing Contactless
- Select Contactless
- Select Send Text Message
- Select OK
- The customer will receive a text message (email for Canadian customers) containing a link to view their Customer Agreement
- The customer must agree to each agreement term, sign the agreement, and select Sign Contract
- Dealerware Mobile will redirect you back to the Reservation Overview screen
After the customer has submitted their signature, Dealerware Mobile will refresh, and the customer’s contract will appear in a Signature Completed status. If the reservation remains in a Contract Not Signed status, pull down on the screen to refresh.
*Note that text messaging capability is not available to locations in Canada, therefore emails will be sent to customers as an alternative.
Canceling a Reservation
How do I cancel a Reservation?
- Navigate to Schedule
- Select the applicable reservation in a Pickup status
- In Reservation Overview, select Cancel Reservation
- When a confirmation alert appears, select Yes
