Overview
Dealerware’s integration with the Toyota App makes it easy for customers to book reservations via the app, and reserve vehicles by category from their personal devices, unlocking leisure rental at the dealership and fleet management optimization.
After creating a specific Program in Dealerware and assigning program vehicles, the Toyota App integration enables those vehicles to be surfaced in the Toyota App. Dealerware's Multi-Agreements & Rates by Model features ensure that the correct Driver Agreement and unique daily rates are assigned to program vehicles.
Enabling the Toyota App
I’m an existing Dealerware customer, how do I enable the Dealerware/Toyota App integration?
- Conduct Toyota App training with your Toyota representative. Contact rentatoyota.app@toyota.com to sign up
- After training, create a Program in Dealerware and title it "OneApp Rental"
- Add leisure rental vehicles to the "OneApp Rental" Program in Dealerware
- Enable the Daily Rate by Vehicle Model setting within the "OneApp Rental" Program in Dealerware, and apply unique daily rates for each vehicle
- Submit a request to rentatoyota.app@toyota.com and cc: support@dealerware.com to request app activation or if you have any questions about the program

- Inform your Dealerware Implementation specialist that you wish to enable the Dealerware/Toyota App integration and they will guide you through the process
Understanding the Toyota App and Dealerware Workflows
Toyota App and the Toyota Customer
By enabling the Dealerware/Toyota App integration, you can expect the following Toyota customer workflow:
- Using the Toyota app, the Toyota customer books their reservation by entering their full name and email address, adding pickup and drop-off date and time, and specifying the Vehicle Category
- After booking, the customer receives an email from Toyota containing a Reservation ID
Dealerware and the Toyota Customer
The Toyota App integration will not change the standard Dealerware user workflow. After enabling the integration, the Dealerware user workflow is as follows:
Prepare Reservations Prior to Customer Arrival
- Locate reservations that are booked via the Toyota App in Dealerware
- Assign vehicles to the reservations
Start a Reservation upon Customer Arrival
- On the scheduled pickup date, the customer arrives at the dealership and provides the dealership staff with their name and Reservation ID
- The dealership staff locates the customer's profile in Dealerware and confirms/adds their Driver’s License, payment method, and insurance info if not already saved. Learn how in Dealerware Web & Mobile
- The dealership staff locates the customer's reservation and assigns a vehicle if one is not already assigned, taking note of the Booked Vehicle indicator, and choosing the preferred or similar model selected by the guest. Learn how in Dealerware Web & Mobile
- The dealership staff finalizes the contract by obtaining a signature from the customer. Learn how in Dealerware Web & Mobile
- The customer receives a text message containing their signed Driver Agreement
Finish a Reservation
- On the scheduled drop-off date, the customer returns their vehicle. The dealership staff processes any charges and finishes the contract. Learn how in Dealerware Web & Mobile
- The customer receives a text message containing their agreement and a receipt, and a “Thank You” email from Toyota
Frequently Asked Questions
How do I avoid creating a duplicate reservation for a customer who walks into my dealership and already has a reservation booked via the Toyota App?
The Dealerware platform cannot prevent a duplicate reservation, however, the customer will likely arrive at the dealership and let the dealership employee know that they already have a reservation.
For this reason, the dealership employee should always ask the customer if they have a current reservation in place.
What happens if a Toyota customer has visited the dealership in the past and already has a Customer Profile, but uses the Toyota App to book a reservation?
The Toyota app will recognize the customer’s Dealerware profile and match the credentials to avoid creating a duplicate profile.
Will the Toyota customer be able to add their driver’s license, credit card, and insurance via the Toyota app?
The Toyota customer will have the option to enter their information in the Toyota app, which will then port the information into Dealerware. If the customer bypasses entering this information in the Toyota app, it can be added to their Dealerware profile during the contract workflow.
What happens if a Toyota customer books a reservation via the Toyota app for a specific vehicle category, but then requests a new vehicle category after arriving at the dealership?
As long as the customer’s preferred vehicle belongs to the "OneApp Rental" Program in Dealerware, the vehicle can be added to their contract.
